Step 1: Setting Up Your Excel Sheet

After downloading your data, open it in Excel. Ensure that the email addresses are in a specific column (e.g., Column A). This organization will help in applying filters accurately.

Step 2: Using Excel's Filter Feature

  1. Basic Filtering for Valid Emails:

    • First, use Excel's basic filter feature to ensure that only rows with valid email addresses are shown. To do this, go to the Data tab and click on 'Filter'. Then, use the dropdown in the email address column to set a text filter that includes rows containing the '@' character.
  2. Advanced Filtering to Exclude Unwanted Emails:

    • Create a list of keywords that signify an unwanted email. These might include these terms:

      whois, domain, privacy, sav.com, park.io, private, protect, compliance, abuse, gdpr, @tenten, dreamhost, dropcatch.com, anonymize.com, dreamhost.com, proxy-service.fr, registrar, SnapNames

    • Insert this list in a separate column in Excel, let’s say column Z (Z1, Z2, Z3, etc.).

  1. Using a Helper Column:

    • Insert a new column next to your email column. If your emails are in column A, insert the helper column in B.
    • In the first cell of this new column (B1), enter the formula to detect unwanted keywords:
      =SUMPRODUCT(--ISNUMBER(SEARCH($Z$1:$Z$n, A1)))>0  
    • Drag this formula down the column to apply it to all cells. This formula checks each email against your list of unwanted keywords and returns TRUE if any keyword is found.
  2. Filtering Based on the Helper Column:

    • Apply a filter to your data range. Click the drop-down arrow in the header of the helper column and select to show rows where the condition equals FALSE. This action will hide all rows containing unwanted keywords.
  3. Using Excel's Advanced Filter:

    • Set up a criteria range using a formula that inverses the helper column's logic:
      =NOT(SUMPRODUCT(--ISNUMBER(SEARCH($Z$1:$Z$n, A1)))>0)  
    • Place this formula in a separate cell, say AA1. Then, use the Advanced Filter feature under the Data tab, select 'Filter the list, in-place', and set the Criteria range to AA1.
